Terms and Conditions of Participation
in the New Trends in Tourism 2020 conference
§ 1

GENERAL PROVISIONS
This document specifies the terms and conditions of registering and participating in the New Trends in Tourism 2020 conference organised by the Gdansk Tourism Organization. Any references hereinafter to: Conference Participant or Participant shall be deemed to mean an entity which submits a conference participation request to the Organiser via the registration form available at trendywturystyce.pl while the recruitment process is open. By submitting a participation request, the person confirms that they are authorised to represent the entity on whose behalf the request is submitted.

Conference Organiser or Organiser shall be deemed to mean the Gdansk Tourism Organization, with its registered office in Gdansk (80-530), ul. Uczniowska 22, NIP 583-288- 72-98, KRS 0000139108, which organises and conducts the training sessions.
 
§ 2

RECRUITMENT AND PARTICIPATION
In order to participate in the conference, it is required to submit a training session participation request using the form available at trendywturystyce.pl while conference and workshop recruitment is open.
Conference participation requests may be submitted by members of the Gdansk Tourism Organization and by third parties. Conference Participants shall be required to pay a fee in the amount specified at newtrendsintourism.com and specific to the conference participation package selected during registration (“Fee”), in return for the opportunity to participate in the conference and the benefits included in a given package and specified on the website mentioned above.

The number of training session spaces is limited, and requests shall be processed on a first- come, first-served basis. The request submission time shall be the time at which the Organiser receives the participant’s participation submission request and a proof of payment.

The Organiser shall inform Participants by email about their requests being accepted. Main list requests shall be accepted until the maximum number of participants is achieved. Requests submitted after the maximum number of participants is reached shall be compiled in the form of a waiting list. In such cases, the Organiser shall refund the participants, and should a possibility arise for the appointed person to participate in the conference, the appointing party shall be required to pay the Fee without delay. Should a Participant withdraw from participating in the conference prior to its commencement, the first person from the waiting list shall be selected in their stead, and that person shall be required to pay the Fee without delay. Should that person fail to pay the Fee within 3 days of being informed about being transferred to the main list, that person shall be removed from the main list.

The conference recruitment period is specified in the conference information section available at: newtrendsintourism.com Submitting a participation request shall mean that the Participant has familiarised
themselves with these Terms and Conditions and accepts the provisions hereof, in particular

§  3(8) and (9).

When submitting a participation request, the Participant selects one of the packages listed at newtrendsintourism.com and, in the case of paid packages, shall be required to pay the Organiser the price of the package specified on the above-mentioned website. Participants shall be required to pay the price of their package within 2 days of their participation request being accepted by the Organiser, but before the conference begins.

§ 3

WITHDRAWAL FROM PARTICIPATION IN THE CONFERENCE
A Conference Participant may withdraw their participation in the conference.
Participants who withdraw up to 30 days before the conference date specified in the conference participation request form shall incur no costs as a result. Participants may opt to appoint a different person to participate in the conference from the one originally appointed, but should inform the Organiser about the fact three days before the conference date at the latest.

Withdrawal notices must be submitted to the Organiser by email at: registration@newtrendsintourism.com
The date on which the withdrawal notice arrives in the Organiser’s inbox shall be deemed the withdrawal date.
Should a notice arrive in the Organiser’s inbox on a non-working day, the working day which follows it shall be deemed the arrival date.

Should the conference be cancelled through the fault of the Organiser, the Organiser shall inform each Participant about the fact without delay. Should a Conference Participant be absent from the conference without submitting a withdrawal notice, or should they withdraw from the conference within 30 working days of the specified conference date, the Participant shall not be entitled to a refund.
 
§ 4

CONFERENCE ORGANISATION
The Organiser shall provide the premises, technical equipment and staff necessary to organise the conference.
The Organiser shall not be responsible for covering the costs of the Participants’ travel to the conference and their accommodation.
The Organiser reserves the right to cancel the conference on its planned date.
The Organiser reserves the right to change the conference venue. In such cases, the
Organiser shall inform the Participants about the new conference venue without delay.
The Organiser reserves the right to make changes to the conference programme.

§ 5

PERSONAL DATA PROTECTION

By filling out the participation request form, the Participant or person appointed to participate in the conference consents to their personal data being processed by the Organiser for the purposes of the training sessions conducted by the Organiser, pursuant to the Act of 29 August 1997 on personal data protection (Journal of Laws 2002 No. 101, item 926 as amended).
Participants have the right to access their personal data, to correct them and to demand their erasure.

§ 6
 
WITHDRAWAL FROM PARTICIPATION IN STUDY TOURS
A study tour participant may withdraw their participation in a study tour.
Participants who withdraw up to 3 days before the study tour date specified in the study tour
participation request form shall incur no costs as a result.

Participants may opt to appoint a different person to participate in a training session from the one originally appointed, but should inform the Organiser about the fact three days before the study tour date at the latest.
Withdrawal notices must be submitted to the Organiser by email at: registration@newtrendsintourism.com.
The date on which the withdrawal notice arrives in the Organiser’s inbox shall be deemed the withdrawal date.
Should a notice arrive in the Organiser’s inbox on a non-working day, the working day which follows it shall be deemed the arrival date.
Should a training session be cancelled through the fault of the Organiser, the Organiser shall inform each Participant about the fact without delay. Should a Participant be absent from a study tour without submitting a withdrawal notice, or
withdraw from participating within 3 working days of the study tour date, the Participant shall be required to pay 100% of the price of single-person participation, set by the Organiser at PLN 100 for every study tour for which the Participant was registered and in which they failed to participate, to the bank account of Hospicjum im. Ks. Eugeniusza Dutkiewicza SAC w Gdansku, ul. Kopernika 6, 80-208 Gdansk, account details: BOS S.A. Gdansk 87 1540 1098 2001 5562 3339 0001. The participant shall be required to provide the Organiser with a relevant proof of transfer within one month of the training session.

Section 9 above shall not apply if the Participant withdrew or was absent for health reasons
documented with a medical certificate.
 
§ 7
FINAL PROVISIONS
The Organiser reserves the right to make changes to these Terms and Conditions.
These Terms and Conditions shall be available at the Organiser’s website at trendywturystyce.pl. Any new changes shall be published without delay on the Conference Organiser’s website at: newtrendsintourism.com
To all matters not settled herein the provisions of the Polish Civil Code shall apply.

2. The Data Protection Officer is Daria Sarnowska, email address: iod@jestemzgdanska.pl
3. The data is collected for the purpose of registering your participation in the New Trends in
Tourism conference, pursuant to Article 6(1)(a) of the General Data Protection Regulation of
27 April 2016.
4. You have the right to access and correct the content of the data, to erase it or to limit its processing, as well as the right to object or request the cessation of personal data processing and transfer, the right to withdraw the consent at any moment and the right to appeal to the supervisory organ.
5. Providing your personal data is voluntary, but necessary to register.
6. The recipients of your data will be entities which process them for the purpose of enabling your Conference participation pursuant to applicable laws and which respect the instructions of the Gdansk Tourism Organization regarding the use of adequate data secrecy and security measures, as well as institutions authorised by law.
7. The data you provide will not be profiled.
8. The Controller does not intend to transfer your personal data to a third country or an
international organisation.
9. Your personal data will be stored until you withdraw your consent.
